MARC download sites
There
are many online catalogs which are configured to allow downloading
of MARC records, with the Library of Congress as perhaps the most
well-known. However, access to other catalogs is helpful when that
site is busy or when cataloging A/V or other materials that cannot
be found in the LC catalog.
Most
libraries in Kansas are eligible to download MARC records at no
charge from the Kansas Library Catalog (instructions).
To see if your library qualifies, contact Rhonda
Machlan at the Kansas State Library; include your library's
OCLC symbol in the message to expedite the process. (Don't know
your OCLC code? Search on OCLC's Participating
Institutions Search page.)
Since each library's catalog is customized, and there are a number
of automation systems (vendors) used, it is impossible to write
specific directions for each one. However, the basic procedures
are similar, and general instructions are provided for each automation
system listed.
Just
remember:
- Search
carefully to find a record that matches the item you are cataloging,
and verify the quality of each record before you download it.
- Download
the MARC record, not the citation. Choose a valid file type
when saving (such as .cgi, .txt, .mrc). Do not save
as .html.
- Consider
creating
a utility batch file to combine all of the downloaded records
into a single file before importing into your system.
- Edit the
call number and any other local holdings information after importing
records.

Please note that online catalogs are often customized,
so there may be different options, button names, or default settings
in each library's catalog.
SIRSI
/ DRA (Data Research Associates)
1) Search for
first item, choosing either Easy or Advanced search screens. Type
in search term, then if a "Search" button is not present,
click the Author, Title, Subject or Keyword button to begin the
search.
2) Click on
the title to view its record. (You may need to click on "Full
Record Hitlist" to be able to access the individual title information.)
3) Verify that
it matches your item, and click on "MARC Display".
4) Click "Download
MARC Record". If using Netscape, go to step 5 now. Internet
Explorer will now display a string of text across the top of your
screen. Click on File > Save As.
5) This will
open a window which will allow you to choose the download location
(for example, on a floppy drive a:\ , or into a folder on your hard
drive, such as c:\marc). Rename each file before downloading, since
the default file name is the same for each download. You may wish
to use consecutive numbers for file names; 1.mrc, 2.mrc, 3.mrc...
6) Click the
Save button, then close the window if necessary.
7) Repeat for
additional searches. Subsequent downloads will default to the location
you chose for the first download.
8) When finished,
be sure to log out or close the session if that option is available.
Innopac (Innovative Interfaces, Inc.)
1) Search for
the first item. Double-click on the title from the list of results.
2) Verify that
the record matches your item. If desired, click on the 'MARC Display'
button to see the entire record - but you can't export from the
MARC screen, so click on 'Regular Display' to go back.
3) Click on
the 'Export' button to save the record to a list. Two more buttons
will now be displayed on the screen. One will be called 'Export'
or 'Export Saved List' or 'View Marked Records'. The other will
be 'Clear Saved Records' or 'Clear Marked Records'.
4) Search for
additional items, and repeat steps 2 and 3 until finished. Be sure
to click on the 'Export' button (the farthest right, if there are
two identical buttons), not on the 'Export Saved List' button.
5) After exporting
the last record, click on the 'Export Saved List' or 'View Marked
Records' button.
6) Scroll down
to view the list of titles on the resulting screen. If necessary,
you can click to check mark any records you don't want (duplicates,
for example), then click on 'Removed Marked Records From This List'.
When you are satisfied that the list is correct, proceed to download
the file as follows.
7) At the top
of the page, click to select 'MARC' in the 'Format of List' box,
and select 'Local Disk' in the 'Send List To' box.
8) Click the
'Submit' button, and choose to save the file to disk. In the 'Save
As' window, click on the down arrow by the 'Save in' field and select
the A:\ drive.
9) Type in
a file name of your choice and verify that the file type is Text
Document (.txt).
* IMPORTANT NOTE *
The default file type may be .html. DO NOT save in this format.
HTML files cannot be imported.
10) Click Save.
The resulting file on your floppy contains all of the MARC records
you saved, and is ready to import.
Endeavor
1) Search for
the first item. Double-click on the title from the list of results.
2) Verify that
the selected record matches your item. Click on the button to view
the MARC record, if desired.
3) Scroll to
the bottom of the page, click the radio button for MARC format,
and click the button to save. This will display a plain text MARC
record across the top of the screen. From your browser's menu bar,
click File > Save As. This will open a window which will allow
you to choose the download location (for example, on a floppy drive
a:\ , or into a folder on your hard drive, such as c:\marc). Rename
each file before downloading, since the default file name is the
same for each download. You may wish to use consecutive numbers
for file names; 1.cgi, 2.cgi, 3.cgi...
* IMPORTANT NOTE *
If you use Netscape Navigator as your browser, accept the default
file type setting and save as the default .cgi extension, or you
may change to .txt or .mrc if you wish.
If you use Microsoft Internet Explorer, the default is to save as
.html. DO NOT ACCEPT THIS SETTING. Choose to "Save as type"
Text file (*.txt).
4) Click the
Save button, then close the window if necessary.
5) Repeat for
additional searches. Subsequent downloads will default to the location
you chose for the first download.
